Overview

The bulk edit function is available within Alloy whenever you select one of more assets, for example when you perform a search or from within Data explorer. This function allows you to perform edit or delete actions on multiple items.

Using the bulk action tool

The bulk action tool is available when you perform a search for assets using the search panel.

When you select the Bulk action tool in the action bar of the search panel and the process is applied to all the assets listed in the panel. A more refined use of the bulk action tool is available when you create a query in Data explorer.

Bulk actions in Data explorer

When you create a query in Data explorer you will have a list of items in the left hand column.

If you do not select any individual items it is assumed that the bulk actions will be applied to all the items in the list. You can select one or more items from the list and apply the bulk action only to the selected items. To select an item you need to hover and click the item icon.

You can repeat the process to select as many items as you want to work with.

The number of items that you have selected is shown at the top of the column in the header bar and also next to the Bulk action tool.

When you have selected all the items that you want to work with, select the Bulk action tool from the data explorer functions.

Performing a bulk action

When you select the Bulk action tool, either from the search panel or within Data explorer, the Select operation page is displayed in the dashboard on the left hand side. The bulk action options that are available are dependent on the type of assets that you have selected.

Where you have selected assets of different types you can choose one of the following two bulk operations:

  • Delete - this allows you to delete all the selected items.
  • Edit - this allows you to edit how attributes are mapped for the selected items, the attributes must be common to all the types of assets that you have selected.
  • Touch - this allows you trigger an update to selected items. This is useful when updating computed attributes such as Title and Subtitle when the format of these has been changed, see Using Title and Subtitle variables.

Where you have selected assets of the same type, you can also choose from one of the following bulk operations:

  • Create job - This allows you to create individual job items with the selected items set as their respective parents
  • Create inspection - This allows you to create individual inspection items with the selected items set as their respective parents
  • Create defect - This will create individual defect items with the selected items set as their respective parents

When you have completed the action for all the assets selected a notification is displayed to indicate how many assets were acted on.

Note

The system estimates the total assets that will be acted on. When the final number of assets, that are acted on, is displayed it may be less than the original number selected if other actions on any of the assets are performed by other users before the bulk edit is completed.

Deleting multiple items

When you select the Delete bulk operation you are prompted to confirm the deletion.

Select the Delete button to confirm the operation, a notification appears to indicate the operation is proceeding.

When the operation is complete use the Refresh data tool to update the query in the tab.

Note

When you delete assets, they are permanently removed and cannot be recovered.

Editing multiple items

When you select the Edit bulk operation the Edit page is displayed in the dashboard on the left hand side.

This provides you three options:

  • Configure properties - this allows you to change basic attributes, icon type, icon colour and the collection the items belong to.
  • Enter item details - this allows you to map or more attributes all the selected assets.
  • Item location - this allows you to change the location of the selected items.

All the options are optional and independent of each other.

Creating multiple job, inspection and defect items

Selecting an activity displays the creation process on the left hand side.

You can proceed with the activity for the selected items, the first two steps are shown as being complete.

When you create either Defects, Inspections or Jobs for a group of selected items of the same type, you create individual defect, inspection or job items with the selected asset items set as their respective parents.
